Speaking Requirements

Terms & Conditions
a)Upon a tentative booking, a Tax Invoice for 50% of the presentation fee will be generated and sent to you electronically, as well as a booking form summarising booking details
b)To confirm a booking, payment of a 50% deposit is required along with a signed copy of the Engagement Contract either via post or fax to + 61 2 9520 8158 or submitting your booking here. Payment can be made by direct debit, cheque or credit card
c)Expenses and the remaining 50% is due no later than 7 days after the presentation date
d)Expenses include airfares, accommodation, transfers, food and beverages (excluding alcohol), parking and tolls

Travel Arrangements
Please note that Reflections Hope Pty Ltd make all travel bookings. These are invoiced to the client within 7 days of your presentation. All airfares are booked with Qantas or code share options as a first preference. All fares are booked at the Qantas Super Saver Rate when available to ensure flexibility and cost effectiveness. Our speakers travel Economy Class to Eastern States and South Australia, and Business Class to Western Australia, Northern Territory and all international destinations.

Accommodation Bookings
Please note that Reflections Hope Pty Ltd make all accommodation bookings. These are invoiced to the client within 7 days of your presentation. All accommodation is booked at a 4 star property appropriate options taking into consideration the event venue. Cost effectiveness is ensured at all times. The exception to this condition is when an event is held within a hotel and a group booking has been arranged by the client.

Airport Transfers
Please note that Reflections Hope Pty Ltd make all transfer bookings. These are invoiced to the client within 7 days of your presentation or clients are welcome to provide Cab Charge Vouchers.

Marketing Material
With the client’s permission, order forms and information about other Reflections Hope Pty Ltd products will be made available to participants. Our speakers do not use client events as a marketing opportunity for programs and products we sell. However from time to time in our presentation speakers will refer to information contained in our books, research papers or from our websites. Should this be of concern, please inform Reflections Hope Pty Ltd so that this may be excluded from the presentation.

Cancellations
Deposits are non refundable in the occurrence of a cancellation. Deposits may be carried over to another event or booking. Full payment of the fee is payable for cancellations made within fourteen (14) days of the presentation. If due to unforseen circumstances our speaker is unable to deliver the presentation any monies paid will be returned immediately.

Recording & Copyright
Reflections Hope Pty Ltd remains the owner of all intellectual property contained within our presentations unless otherwise acknowledged within a presentation and holds copyright of all materials. Clients are asked to advise Reflections Hope Pty Ltd in advance of any intention to record a presentation regardless of the format of the event or recording media. We ask that flash photography only be used in the later part of a presentation so as not to divert the audience’s attention early within the presentation. When photos are taken please supply a copy to Reflections Hope Pty Ltd.

Session Requirements
Reflections Hope Pty Ltd will provide the client, at the time of booking, with a short bio, photo and collateral materials appropriate to assist the client in the promotion of their event. Reflections Hope Pty Ltd retains the right to approve any client marketing materials prior to print or publishing to the web.

Reflections Hope Pty Ltd will advise the client of AV and technical requirements at the time of confirming a booking. Requirements differ from one presentation or venue to another. All information required within the booking form must be available either at the time of booking or within 30 days of an event to ensure that the client’s presentation can be tailored to the audience, venue, technical, physical and room configuration requirements. The client is responsible for all costs associated with room hire and hire of AV, staging or technical equipment.

Our speakers are engaged to deliver a professional and educational presentation of a very high standard, their dress is always business attire unless otherwise requested by a client.
